Position Classification: Part-Time Regular

About This Opportunity

Rockford Construction is currently searching for a part-time Corporate Giving Coordinator to join our administrative team. As the Corporate Giving Coordinator, you are responsible for enhancing the effectiveness of assigned executive staff while supporting corporate giving initiatives across the organization. You will perform a variety of administrative and executive support tasks which may be highly confidential and sensitive including calendar management, scheduling, document preparation and credit card reconciliation. This position also welcomes guests and clients by greeting them in-person for meetings.

To be successful in this role, you should be familiar working in a fast pace environment of change, administratively supporting an executive team and supporting long and short term business objectives. Responsibilities

  • Foster an environment of diversity, equity, and inclusion.
  • Performs a variety of administrative and executive support tasks which may be highly confidential and sensitive. Helps support calendars, scheduling, document preparation and credit card reconciliation.
  • Coordinates and facilitates the executive’s calendar to arrange appointments, meetings and conferences.
  • Welcomes guests and clients by greeting them in person for meetings.
  • Researches, compiles, assimilates and prepares confidential and sensitive documents and briefs the executive regarding contents prior to meetings.
  • Reads and screens incoming correspondence and reports, makes preliminary assessment of the importance of materials and organizes documents, handles some matters personally and forwards appropriate materials to the executive and staff.
  • Reviews, proofreads and edits documents prepared for the executive’s signature.
  • Assist with the planning, coordination, and facilitation of the corporate giving process for sponsored events and internal company events, corporate giving and other meetings and events as requested.
  • Support the planning, coordination, and execution of corporate giving initiatives, including sponsored events, internal company functions, and other meetings and events as needed.
  • Privy to information that must be protected.
  • Exercise of discretion and independent judgment with respect to matters of significance.
  • Executes major assignments in conducting the operations of Rockford Construction.
  • Acts as liaison between the Executive and staff, departments, board and public.
  • Involved in planning long and short term business objectives.
  • Other duties as assigned.

Requirements

  • Associate’s degree required and 5 years’ executive administration experience. Bachelor’s degree preferred.
  • Must possess the ability to organize, prioritize, and manage multiple tasks.
  • Must possess excellent oral and written communication and interpersonal skills.
  • Must have the ability to work independently.
  • Must have a working knowledge of MS Office, including strong skills in Excel, Word, PowerPoint, and Outlook.

Environmental Factors

The work environment for this position may subject the individual to hazards commonly associated with construction sites. Examples of physical hazards include noise, proximity to moving vehicles, atmospheric conditions, close quarters, uneven surfaces, and elevated surfaces. The individual may also be subjected to outside environmental conditions (weather) where protection may not be available. Personal Protective Equipment (PPE) is required at all times outside the job trailer. Occasional lifting of 50 lbs. or less.
